OnShift Employ's  Openings (requisitions) tool has been expanded to meet all our client’s requests. Creating and maintaining an opening may look complicated, but we have broken elements into tabs. Openings features have recently been reconfigured to flow smoothly. For the most part, you will use all tabs once when creating a new opening. Most of these steps are skipped when cloning a current or archived opening.
Creating an Opening - express instructions below. Red siren indicates a required selection.   What do all these TABS do? Click HERE to find out.

Openings

  1. Defaulted to Current openings tab

  2. Archived tab: jobs closed will move to Archived at midnight PST

    • Archived openings are defaulted to show the most recent 6 months of requisitions

  3. Adjust view of rows to Show 10, 25, 50 or 100 entries

  4. Job ID number - click to review all active applicants

  5. Status column - grey=feature is disabled (see image for icons) ---->

  6. Open column- Click toggle to close current opening. Jobs closed will move to Archived at midnight PST.

  7. View All Active Advertising Openings button

  8. Add a new Current Opening

  9. Export  openings to CSV

  10. Search box - search by title, location, specific job id, assignee, etc. or any combination

  11. Action column view, edit, clone, review screening questions and job/position application process - (see image for icons) -→

Creating a Current Opening (express)

  1. Click on the green ‘ADD’ button

  2. Make selections in Job Setup tab

  3. Click on Job Requisition tab

  4. Click Submit button to complete and open

Edit current opening

Found a typo? Would like to reassign the ADMIN ASSIGNED?  all this can be updated to a current opening, except LOCATION. Due to application process and system reporting location cannot be changed on a current opening. You will need to clone the job opening then update location.

  1. Click on the pencil icon (See #10 action column icon)

  2. Make necessary edits

  3. 'Submit'  (found on Job Requisition tab) to save and open. Changes are effective immediately.

Clone a Current Opening 

Need the exact job open at another location? Created the opening externally and need it available for internal promotions and transfers?

  1. Click on the clone icon (See #10 action column icon - double sheet of paper with plus sign)

  2. Make necessary adjustments on JOB SETUP and or  JOB DESCRIPTION. For example: choose another location, company, etc from the dropdown menus.

  3. 'Submit'  (found on Job Requisition tab) to save and open

Why clone and not create a new opening?

Cloning a Current Opening (or Archived )
→  replicates the application process
→  replicates any pre-qualification questions (if used)
→  carries over administrators that have oversight
→ replicates Advertising IDs
→ it's easy!

Reopen an archived requisition

  1. Click on the clone icon (papers with a plus sign)

  2. Make necessary adjustments on JOB SETUP and or  JOB DESCRIPTION. For example: choose another location, company, etc from the dropdown menus.

  3. 'Submit'  (found on Job Requisition tab) to save and open

Openings Navigation and Explanation

The Openings pagehas three tabs:

  • Current – jobs that are actively open

  • Advertised – review how each current opening is advertised

  • Archived – where jobs live after they have been closed

  • Icons in the Status column tell you the opening’s current status. A gray icon indicates the feature is disabled.

  • # Hired reflects the number of positions that have been hired for this opening.

  • # Apps reflects the number of applications received for this opening.Click the number in the column to view all applicants for the requisition.

  • Age – hover over the age of the requisition to view exact dates.

  • Action column – preview, edit, or clone the posting; review screening questions and the job/position application process.

Advanced Filters

Advanced search filters are found alongside the Search box on the Openings page.

Click into the field of any filter to display options:
1. Check the box to add to the filter.
2. To delete, click the X next to the element.
3. Click Submit to set the filters.

The Openings page displays the first 25 current openings. At the bottom right of the page, rows may be expanded to view 50 or condensed to view 10.
