Countersigning Form I-9

Form I9 administrative countersign feature with in Employ will guide you through completing
Section2: Employer or Authorized Representative Review and Verification.

Once the applicant has completed Form I9 you’ll note in the application process Status column “Requires Input” with a red flag. Simply click Requires Input to open Section 2 template


Admin countersign is defaulted to Section 2. Employer or Authorized Representative Review and Verification.

→ Review Applicant data from Section 1. Employee Information and Attestation displays first.

In the event you discover the applicant data does not match the identification they have provided, you will need to contact the applicant to login and correct their information on Form I9. Instructions for applicant for how-to update documents.

 

  • Select whether identifying documents are from List A or List B AND C.

  • Choices of acceptable documents in each list correspond to the employee’s Citizenship/Immigration status selected.

  • Click in Document Title drop downs to display Form I9 approved documents

    • Corresponding required information displays depending on the document selected.

Enter verified identification information from physical document directly into template.

 


Authorized Representative Certification

The Authorized Representative name and title auto-fill from your Account Profile. The company information auto-fill from your Company Settings. (SEE IMAGE)

→ Check the box indicating you have read the attestation and complete the Employer/Authorized Representative section.

→ Enter the employee’s first day of hire. Section 2 must be completed within 3 business days of the date of hire of their employee (the hire date means the first day of work for pay)Sign in the box and click continue.

Section 3. Reverification and Rehires (To be completed and signed by employer or authorized representative.) is defaulted to “Skip this section”. 

→ To enter information for Reverification and Rehires, select  “This is a reverification or rehire, I need to complete this section”.

OnShift Employ's software combines (flattens) Section 1. Employee Information and Attestation and Section 2: Employer or Authorized Representative Review and Verification into a legible, compliant PDF to save locally or print if needed. To review the completed I9, return to the application process to click on the magnifying glass to the left of Form I9.

→ Once signed Status will change to Completed.

→ Click on the magnifying glass to the  left of Form I9 to review complete PDF.



For those contracting OnShift for E-Verify

Reminder for clients contracting OnShift to E-Verify:  When a new hire is using a valid document from List A containing photographs, you will still need to upload a photocopy of the document to the candidate’s files for E-Verify photo matching. Examples of most commonly used List A are U.S. Passport or Passport Card, Form  I-551 Permanent Resident Card or Alien Registration Receipt Card

→ Click the green check in Countersign I-9, then complete this stage to initiate E-Verify. OnShift is automatically notified Form I9 is ready for E-Verify.

 

 

E-Verify results are uploaded to the Candidate’s files.

→ Click “files” on the left of the candidate’s application
