Messages sent through OnShift Employ are emailed to the candidate as well as saved as a copy in their messages, found on their dashboard. OnShift Employ’s extensive message tracking works like your regular email server. Candidate Messages now allows a candidate to reply to messages sent through the system, keeping organized, written records of all your correspondence. Both system messages sent to you and to the candidate regarding this application are tracked here, as well.

 Message starring – Custom categorize your messages with colors, then filter by star colors.   

To the right on the message screen, you will see icons that represent various stages of email transmission: 

 The red box with the checkmark means the email has been opened by the recipient.

 The empty green box means it’s a new unread incoming message.

  The dark gray checkmark means it’s an outgoing message that’s been delivered and confirmed as such.

 The dark gray arrow means it’s been sent but not confirmed as delivered yet.

The red warning icon indicates a bounced email.

After reading a current message, check the box to send to archives. 



Let’s send a message

1. Sending a prewritten template – You can send an email by selecting a prewritten template through the dropdown at the top. (Templates are maintained by administrators in the system, covered in another section.)  After selecting your template, you must click “Load Template.”  After you click “Load Template,” the content of that template will appear in the “Body” below.   Once the content is loaded, you have the option to edit before sending. 

2. From – Select an email address from the dropdown list. To send an anonymous message, select company@candidatecare.jobs.

3. The WYSIWYG editor – In various places throughout the system where you have the option to edit content, you’ll see the WYSIWYG editor.  WYSIWYG stands for “What you see is what you get,” and offers light-weight text editing. 

4. Variables – The system allows the use of variables in outgoing messages.  Variables will populate basic details from the employment application into your message. Variables are always surrounded by two sets of {{curly brackets}}. For example: {{job}} in {{location}} will pull “EMT” in “Albany, NY.”  The list of available variables is shown below the body section on messages.

5. SendPreview message pop-up window allows you to review variables' translations. Once you’re satisfied with your outgoing message, hit “Send message” at the bottom.  (Note: When using the mass email function, you will only be able to preview the first queued message.)  That’s it!  Your message will be logged in the candidate's Messages.

*If the pre-written message is not relevant, or you need to send a specific one-time message, simply choose a template. Once the body has loaded, delete the text and either write your own in the body box or paste the message from a Word document. Don’t forget to update the Subject Line as well!

What is a variable?

In OnShift Employ, variables are found {{between_these_brackets}} within the messaging system and post-offer forms. Rather than entering personalized data directly into a message, predefined variables pull specific data from the candidate's profile, application, and other areas of the system, automatically entering the data into the message. With confidence you can be assured that each message and form sent is streamlined and consistent to each candidate.
