Who can create and manage Openings? Full Access Administrators, Client Admin, Processing Managers, and Recruiters.

VIDEO Job Openings: How to view and clone open job positions

Open a job without customizations in just a few clicks

Need a job opened quickly without fuss? The following instructions summarize the necessary required settings to open a job without the bells and whistles.

Go to the Openings tab and click the blue NEW button.


1 - Job Setup tab – enter required fields, then click Next

1. Assign the primary Admin Assigned. This is the person who will manage the applications for the requisition and receive notifications.

2. Select Company.

3. Select the job in the field for Job Template. This pulls the job description from the job templates. If a job title is not visible, the job template has more than likely not been added or the company/facility has not been enabled in the Job Template. Once a title is selected, the job description auto-populates.

4. Title this is where you can modify the title for this requisition. Otherwise leave as-is.

5. Department is normally defaulted from the original Job Template.

6. Select a Location.

7. Access to View

  • Has Access to view – This automatically inputs administrators with oversight in their admin settings. CAUTION: This setting overrides any default oversight.

  • No Access to view – Admins moved to No Access to View will no longer see the Opening, nor applicants that have applied. CAUTION: This setting overrides any default oversight, including the Admin Assigned.

Check the box Lock oversight after job creation to prevent admins from modifying who has access to view. Once oversight is locked on a specific opening the only way to unlock is to create a new opening or contact OnShift Support.

8. Click Next.


2 - Job Detail tab scroll down and click Next

All of the top half of Job Detail is optional. The bottom fields are required, defaulted to the basic settings for a regular external, published opening. We have included brief descriptions for a quick review.

Reports To – We recommend using the person's title, not their name.

Requisition No. – Shows on the front end as Additional Info. This is a great place to enter the shift available or other key information.

Pay Grade – Space for pay scale, hourly or salary (i.e. $12.50/hr. or $38,000/salary).

Shift – Check which apply.

Open – Date the posting opens. Defaulted to Immediately but can be scheduled to post in the future.

Date Close – Schedule the date to close.

# Positions Available – The job will automatically close after the number of candidates are hired completely through the application process.

The bottom portion of the Job Detail tab is all required, however, all are defaulted to the basic settings for a published opening.

Click Next.


3 - Job Description tab – scroll down and click Next

If no modifications are necessary, scroll down and click the Next button. We have included brief descriptions for a quick review.

Job Description – This box auto-populates the job description from Job Templates. This is where you might add or modify the job description to suit your facility or company.

Job Ad (optional) – Create a shortened version of the job description, add a company blurb, or advertise a sign-on bonus. As best practice, include a sentence summary of the JD, minimum requirements, and company benefits.


4 - Job Requisition tab – scroll down and click Submit

These are all optional fields. If no modifications are necessary, scroll down and click the Submit button.



5 - Job Advertising – click Next

If no modifications are necessary, scroll down and click the Submit button.
