OnShift Employ’s user-friendly layout, clear requisition options, and helpful tooltips are designed to make setting up a new job requisition quick and easy.

A progress bar at the top of the page shows where you are in the creation process.

Helpful tooltips appear alongside certain fields throughout the requisition creation process, providing definitions and details to assist you in creation.

Creating a New Requisition

Settings in this example are defaulted to opening a public requisition.

To create a new requisition, select Openings, then New.


Basic Details page

The Basic Details page contains all the standard information about the requisition including the company, optional job template, requisition job title, location, department, and the administrator assigned to the requisition. Complete all fields as needed

  • Select Company.

  • Select the job in the field for Job Template. This pulls the job description from the job templates. If a job title is not visible, the job template has more than likely not been added or the company/facility has not been enabled in the Job Template. Once a title is selected, the job description auto-populates.

  • Title this is where you can modify the title for this requisition. Otherwise leave as-is.

  • Select a Location.

  • Department is normally defaulted from the original Job Template.

  • Select the primary Administrator Assigned. This is the person who will manage the applications for the requisition and receive notifications.

  • Select if you want to prohibit changes to oversight settings. Specify admins you do and don’t want to have access to this requisition.

Select Next on the lower right of the screen.


Requisition Info page

The Requisition Info page is where you’ll enter information specific to this requisition. 

  • Enter who the requisition reports to, if applicable. We recommend using the person's title, not their name.

  • Enter the requisition number and pay grade.

  • Select the requisition Opening date–either immediately or a scheduled date. 

  • Select the Close Date. The posting will close at 12:01 am PST on the date indicated. Leave blank to not use automatic close.

  • Optionally enter the # Positions Available. The posting will automatically close after this number of applicants are hired. Leave blank to not use automatic close.

  • Select any attributes for the position, including part-time, full-time, night shifts, weekends, etc.

Select Next on the lower right of the screen.


Job Description page

The Job Description page is where you’ll enter specific details about the requisition.

The job description is automatically populated from the job template selected under the requisition’s Basic Details. You may edit the description here, if needed. 

Additionally, there are options to enter specific details about the requisition, including a job ad to display on the Apply page and any incentives you want to highlight. Complete these fields as needed.

Select Next on the lower right of the screen.


Job Requisition page

On the Job Requisition page, you’ll select requisition-specific details, including:

  • Requisition type – application or pipeline

  • Whether the opening is a new position

  • If the opening is budgeted.

  • Make the opening confidential and only visible by permission. This permission was previously referred to as “Public or Secured.”

  • Publish or post the opening to the career portal and job boards. This permission was previously referred to as “Published or Unpublished.”

  • Use long registration. The long registration form requests an address in addition to the basic registration fields.  If you don’t use long registration, it’ll just ask for name, email and phone number.

  • Request a resume. If you select this, you have the option to make the resume required.

  • Allow the candidate to initiate Quick Apply, adding a "Quick Apply" button next to the "Apply Now" button when an applicant previews the opening. This was previously referred to as the “Message to Recruiter” option.

  • Include Cover Letter to give candidates a text box to type or copy/paste a cover letter. 

  • Allow applicants to reapply.

  • Put the opening on hold. This will add an "on hold" label to the application but does not remove the posting from career portal or job boards.

If you’re using a job template that requires a requisition approval process, you’ll see an additional field. The requisition will need to go through the approval process before you can publish or post the opening to the career portal and job boards. A list of required approvers will appear. Or, choose to skip this process.

Select Next on the lower right of the screen.


Additional Settings page 

The Additional Settings page shows you the default SMS number used, based on account settings, as well as spaces for you to enter your advertising budget or requisition notes.

Select Next on the lower right of the screen.


Interview Invitation page

The optional Interview Invitation page allows you to schedule interviews directly within the requisition, using an existing meeting template. Select the meeting template to expand details to use and edit details as needed, then select Next. Or select Skip to bypass this page.


Advertising Setup page

Advertising Setup will take you through setup for any advertising you want to create for this requisition for posting to Indeed.


Completing the Requisition

Once you’ve entered all details, from the Advertising Setup page, select Submit to complete and save the requisition.
