Your initial OnShift Employ set up includes a few email message templates. Edit or delete the sample templates or create new templates for your organization. Storing frequently used message templates lets you message candidates within OnShift Employ in just a few clicks.

Add a New Message Template

  1. Go to Manage System → Message Templates, then click the +New button.

  2. Title – for internal use only. This is the template label.

  3. Email Grouping – an email grouping can be aligned to a specific stage of the application process. Groupings are ideal for correspondence that may vary by department, job titles or location, such as offer letters, interview reminders, orientation information, drug screening information, etc.

    1. When the stage is advanced (see Accessible by? below), only the message templates in the email grouping are available to select from.

    2. Email group formatting must not have spaces (application_reminder, testing_information, etc.)

If you would like a grouping tied to a stage, please contact your OnShift Employ support rep.

3. Accessible by?

  • Anywhere – allows access to the template from anywhere within OnShift Employ. Selected by default.

  • Stage Level Emails Only – restricts the message template to a specific stage. When the stage is initiated, the messages using this requirement are the only ones available.

  • Automated Emails Only – restricts the message to an automated email linked to a specific stage. Only one message may be used per stage.

  • Application Message Email Only – restricts accessibility to Applicants.

4. Subject – the subject line sent to the candidate or recruit.

5. Body (optional) – message text.

The last two optional fields are linked to OnShift Employ Text. Leave blank if you are not text-enabled.

6. SMS Mapper – add an auto-fill variable.

7. Message – 140-character simplified text version of the above message template body.
