Rejecting an applicant for any reason

You may choose to reject at any time through the “Reject Application” button at the bottom of the Application Detail page; or at a decision point by clicking the red “X.”

Either way, you will need to select a disposition code from a predefined list (predefined by your organization). Choose a disposition from the dropdown menu to display message text.

If the situation requires that no email be sent, you can override the outgoing email by clicking “No” after the Send Email request. This would be appropriate if you’ve already had a conversation with the applicant, or otherwise addressed the situation. In most other circumstances, you should send the communication so that the applicant is apprised of their status. You may see or use {{variables}} in the outgoing email. These variables will be replaced with the appropriate field in the outgoing email.

Rejecting “Unfavorable Background Results” and “Pre-Adverse Action”

In accordance with the Fair Credit Reporting Act (FCRA), a candidate whose background screening report has revealed unsatisfactory results as defined by company policies and procedures has the right to dispute their results within a reasonable time – no less than five (5) business days. Adverse action refers to an official legal process that an employer is required to follow when they inform a job candidate that they are not eligible to work for your company due to information found in their background check.

In OnShift Employ, (image 1) selecting rejection reason “Unfavorable Background Results” will initiate the five (5) day pre-adverse action letter. On the fifth day, if the candidate has not reached out to your background screening company, the final rejection notice will be sent and the application closed (image 2).

To cancel the rejection within the five days, you must visit the applicant details of the candidate. On the bottom left, click the grey “Cancel Rejection” button (image 3).

Will the candidate know the specific reason they are no longer being considered?

Most dispositions have a generic, friendly email associated with why they are no longer being considered. As mentioned, there is the option to select not to send an email by selecting “No” next to Send Email. It is recommended to always send the email, so that the candidate is not left guessing.
