Manage System - Job Templates

Full Access Admin users can follow these instructions to create job templates.

A job template/job description is necessary for creating a job opening, as it provides a structure for all openings that are based off of it. It is important that it is set up properly at the onset to avoid problems later. For example, a job template should never include temporary information about a sign-on bonus, as that information will copy over into future job openings. That type of information should be entered at the opening level, not the template.

Important

Add only new titles to Job Templates and use that title only once. Job Title variations are best utilized when creating an Opening—for example, Certified Nursing Assistant (CNA) or Certified Nursing Assistant - Night Shift.    

Duplicate titles in Job Templates causes dropdown filters to become congested and analytics/reports less accurate. 


Once you have a completed the job description, you can create the template.

  1. Go to Manage System and select Job Templates.

  2. Click the blue +ADD button.

Job Tab

  1. Enter the unique Job Title.

  2. Choose the Department (this may be modified at the Opening level).

  3. Choose the Employment Exemption.

  4. Choose the Job Category for EEO purposes.

  5. (Optional) Enter a Job Code.

  6. (Optional) Choose the Job Function

  7. Select which companies/facilities need access to the Job Template (hold “Ctrl” button to make multiple selections).

  8. Click Next to proceed to the Overview & Description tab.

Overview, Job Ad, & Description Tab

The Overview (optional) box does not display on the public side. This is for internal use only and is typically a sentence or two summarizing the position.

 

 

A Job Ad (optional) may be added to the job template.

 

 

Enter the job description in the (required) Description box and format it as needed.

Click Next to proceed to the Job Requisition tab.


Job Requisition Tab

Click Require Approval to have someone approve the requisition. Then choose which admin(s) to set as approvers by using the arrows to populate the Approvers box.

Require approval is normally not enabled. The feature is intended for larger organizations that have a hierarchy approval process for posting new requisitions. Once enabled, ALL names on the approver list must physically approve the Opening before it will publish to Current Openings and the job boards. 

 

Hit Submit, and your job template is available when you go to create an opening.

If the new template is not saving, be sure all the required fields have data, and that an exemption and a company is selected.

 

Important

When creating a job template, competencies will not automatically line up. If you need a behavioral assessment or structured interview aligned, please contact support@onshift.com.
